 Arrivals and Departures Policy

 

Arrivals:

Our staff will greet each child warmly on their arrival at the Club and will record the child’s attendance in the daily register straightaway. 

Carers must complete an online registration form prior to their child starting which also confirms the parent is happy to follow our medical processes in case of an emergency.

Carers must update any changes to contact information, medical information, or other details by updating their child’s information on their account.

 

Arrivals at Afterschool Clubs: If a child arrives at one of our settings and they are not on the register our team will check with the school reception team. The school will then contact the carer to confirm if their child/children should be attending the club. If the child should be attending, our colleagues will make a late booking for the child. If the child should not be attending, the school will then take charge of the child and resolve the situation.

The After School Club staff will ensure the safe collection of the younger aged children which includes, Reception, year 1 and year 2 classes. Whilst the older children will find their own way to the area of the school being used for the after-school activity if an older child does not arrive it is the play worker's responsibility to investigate the whereabouts of that child while ensuring the safety of the other children.

 

Arrivals at Holiday Clubs: If a child arrives with a carer at one of our settings and they are not on our register, our team will then inform the carer of the situation. If the carer wishes the child to stay, a member of the team will collect the necessary information from the carer of them and the child to ensure their safety of this child.

 

 

 

Departures

After School Clubs and Holiday Clubs:

  • Staff will ensure that each child is checked out with their carers and provided feedback on their behavior. Any Injury Report forms must be signed and dated by the carers before departure.

  • Children can only be collected by an adult over the age of 16 who has been authorized to collect them on the booking system.

  • If carers are in dispute, we cannot bar a carer who has parental responsibility from removing their child, unless we have seen and have a copy of a court order stating this.

  • Carers must amend their child’s details on the booking system in advance if someone who is not usually listed is to collect their child. If any person collecting a child is not known to staff they will be asked to provide photo identification. If this is not available then colleagues will ask 2 questions relating to the child taken from the registration form. Staff will contact the carer listed for confirmation if there are any concerns regarding departures

  • The carer must notify the club if they will be late collecting their child. If SportsCool Cheshire is not informed, the Uncollected Children policy will be followed.

  • No child will be allowed to leave the Club unaccompanied unless they are over the age of eight and the carer has consented on the booking system.

  • If a carer is perceived to be under the influence of alcohol or drugs, staff will do their utmost to prevent the child from leaving with them especially if they are traveling in a vehicle driven by them. Staff must report this to the designated safeguarding lead for the company and if necessary the police will be called to ensure the safety of this child.

Uncollected Child: (AfterSChool Clubs)

It is the responsibility of the carer to inform SportsCool Cheshire if they will be late collecting their children. If a child is not collected at the end of a session, and the carer has not notified us that they will be delayed, the club manager will then inform the host school about this situation, at that point, the school will take charge of the child and contact the carer. The club manager will also inform SportsCool Cheshire Head Office about the situation. 

 

Uncollected Child: (Holiday Clubs)

It is the responsibility of the carer to inform SportsCool Cheshire if they will be late collecting their children.

  •  If a child is not collected at the end of a session, and the carer has not notified us that they will be delayed, the club manager will contact the carers and inform them the club has finalized. 

  • If there is no response from the carer, messages will be left requesting that they contact the Club immediately. The manager will then try to contact the emergency contacts listed on the child’s registration form.

  • While waiting to be collected, the child will be supervised by at least two members of staff.

  • When the carer arrives they will be reminded that they must call to notify us if they are delayed, or if any other situation has risen.

 

Over 45 minutes late to collect child:

If Colleagues have been unable to contact the child’s parents or carers after 45 minutes, the following will be done:

  • The manager will contact the local Social Care team for advice.

  • The child will remain in the care of two of the Club’s staff until collected by the parent or carer, or until placed in the care of the Social Care team.

  • If it is not possible for the child to remain at the Club’s premises, a note will be left on the door of the Club informing the child’s carer where the child has been taken (e.g. into the care of a safeguarding agency) and leaving a contact number. A further message will be left on the parent or carer’s telephone explaining the events.

  • Carers will be reminded that if they persistently collect their child late they will lose their place at the Club.
