Major Incident Policy

 

In the event of an emergency, SportsCool Cheshire’s primary concern will be to ensure that both children and staff are kept safe. If you are involved or caught up in an incident please follow the below procedure.

 

In the event of a major incident within proximity to your club location:

  • All children and staff will assemble within the club’s main area. 

  • Those outside will move quickly to the inside, staff will ensure walkie talkie system is in place.

  • Headcount and register of all children and staff will be carried out.

  • All doors will be closed and staff will encourage the children to lay under the tables, away from windows.

  • A member of staff will call the police 999 immediately for further advice, which should be followed (explain you are calling from a club within your school location and tell them how many children and staff are present)

  • If caretakers or school employees are on-site, they will work together with our staff to lock down the site, the staff's priority is the children in their care.

  • In case of any doubt, there should be no movement and wait for the police to arrive to contain and manage the situation.

  • If phone networks are available, a member of staff will try to contact Head Office and carers to reassure them, carers will be advised not to come to the location unless asked to by colleagues after being given the go-ahead by emergency services.

  • Carers will be kept updated when possible.

  • Children will be protected from information or images that may alarm or distress them. 

  • Children will be constantly reassured.

 

 

 

In the event of an intruder on site:

  • Members of staff will communicate with each other using our walkie-talkie system, a safe word will be used, and once this is known by all members of staff they will immediately get the children to a safe area.

  • The club will be locked down, children and staff will assemble together in a safe  and doors and/or windows will be locked/barricaded

  • Members of staff will call the Police 999 immediately (explain you are calling from a club within your school location and tell them how many children and staff are present).

  • Members of SportsCool Cheshire will register and headcount the children and staff. This will be done at least twice once in a safe area to reassure the safety of the children and the staff.

  • Children will be encouraged to lay under tables and keep low, away from windows.

  • Staff will constantly comfort and reassure the children.

  • In case of doubt, there will be no movement and staff will wait for the police to arrive to contain and manage the situation.

 

Procedure for carers: (In any event)

The care of the children is our priority, if we are caught up or involved in an incident, the club will comply fully with the instructions from the emergency services and constantly reassure the children in our care. Carers are informed to please not attempt to come to the setting, unless asked to collect their child, as this may put them and their child at greater risk. 

If a carer is caught up or involved in an incident the staff will continue to care for the child until they are able to return or a person from the pickup list is able to collect them. Staff must try to keep in contact via landline, mobile or e-mail as much as possible.
